City of Ottawa To Make $20 Million Investment In Telecommuting Over The Next 4 Years
Over the next 4 years the city of Ottawa plans to spend over $20 Million on information technology upgrades to enable approximately 2,000 of it’s city employees to telecommute. At first glance tax payers may not like the looks of a $20 million price tag, but once the upgrades and telecommuting plans are implemented they’re expected to save the city $5 million a year.
In an article from The Ottawa Citizen that mentions the IT upgrades being made, it does not mention what the upgrades are and specifically how the money is being spent. It would be interesting to see what types of solutions the City of Ottawa are planning on using in implementing a telecommuting program.
A few ideas they might want to consider if they aren’t already-
- SaaS or Software as a Service- Software as a Service allows the customer to pay smaller monthly subscription costs on software. This allows the customer to see ROI on the software investment much faster, and the software can be accessed from anywhere an employee can access a web browser.
- Resource Scheduling Software- Resource scheduling software can increase an organization’s productivity and reduce waste. Even with employees telecommuting they’ll still need to use rooms and resources that are in the office from time to time. Efficient scheduling software increases productivity by eliminating double bookings that may occur when employees aren’t always in the same place and in direct contact with each other. Scheduling software can also be integrated with building management systems to reduce energy consumption by automatically powering rooms and resources only when they’re used, and with employees telecommuting you will see rooms and resources on site used less.
- Occupancy Detection- Sometimes employees who telecommute may need a work area on-site. By implementing occupancy detection tools your organization can understand how often and when shared workspace is being used. This can help the organization reduce shared workspace, or optimize the workspace they have, reducing costs and saving more money.

The ROI Behind Real Estate Management Software
At PeopleCube we offer software solutions that assist organizations in a number of areas concerning real estate management. Our software solutions play in areas like resource scheduling, energy management, and real estate business intelligence. All of our real estate management software can produce a significant ROI for businesses, school systems, and many other organizations.
At times smaller organizations and school systems shy away from the investment in real estate management software that can make them more efficient, reduce energy consumption, and cut costs because they are afraid of the price tag that is associated with it. Our solutions can be delivered through Software-as-a-Service. this allows customers to pay for the software in smaller monthly payments producing a much quicker ROI than larger up front costs would allow.
In the past when explaining the benefits of our solutions being offered affordably through SaaS we’ve sometimes been met by skeptics who think despite the affordability of the software, there must be hardware costs that go along with the software. The truth is only if you want there to be. All of our real estate management software can be easily integrated with existing systems and hardware that are already in place. Here’s how:
Resource Scheduling Software- Our scheduling software can be easily accessed through mobile devices, web browsers, and even Microsoft Outlook, all of which are already found on employees desktop or notebook computers. Organizations do have the option to purchase kiosks to give their employees greater accessibility to the scheduling software, but for smaller outfits and organizations looking to cut costs the software can be easily accessed through their web browser.
Energy Management and Business Intelligence Software- All of our energy management and business intelligence software can be easily integrated with existing systems and hardware that your organization already has in place. If your organization has a data source, that data can be input into Workplace BI where business intelligence visualizations are created.

Scheduling & Resource Management Can Improve The Efficiency of Meetings
Seth Godin recently published a blog suggesting that organization’s hire a “meeting fairy”. The idea is that meetings can get out of hand, unorganized, and inefficient- costing the company a tremendous amount of money when it all adds up.
Seth, you make some excellent points, and I encourage others to take a second and read this post it makes some excellent points like:
- Meetings that tie up rooms well after the actual meeting is over because Outlook has scheduled a room for much longer than it needed to be scheduled for, for a particular meeting.
- Meetings can be inefficient when proper visitor management isn’t taking place for participants that maybe from outside of the organization.
- Lack of resource scheduling can cause your meeting to run less than smoothly if you don’t have a room that has the appropriate resource such as a projector or video conferencing equipment.
Seth suggests organizations hire a “meeting fairy” to improve the efficiency of an organization’s meetings. The cost up front would be higher in having to staff this position, but he believes it would bring more cost savings to the organization in the long run.
While Seth identifies a number of problems that organizations face with meeting scheduling every day, but there is another solution that can improve the efficiency of an organization’s meetings and resources that doesn’t require a fairy. PeopleCube offers resource scheduling software, actual space utilization tracking, occupancy detection solutions, and real estate business intelligence software that will improve the efficiency and scheduling of meeting rooms and other resources inside your organization.
Instead of a conference room being booked for two hours and only being used for 30 minutes our Outlook scheduling solutions can notify Outlook that a meeting room is available once it actually becomes open, not just when it is planned to be open. This is called actual space utilization. If you need specific resources in a meeting like video conferencing equipment or catering for a lunch meeting, our scheduling software can make sure the conference room being scheduled has all of those necessary resources and will make sure you don’t schedule an inadequate room for your meeting.
