Three Core Dimensions To Transforming Business For Telework

Recently the Vice President of Human Resources for Microsoft Canada laid out the three core dimensions for transforming a business for flexible work. There are those out there on both sides of the fence when it comes to telework and telecommuting, but regardless of how you feel about the remote work practice, it seems as if it is here to stay. Here are the three core dimensions to transforming business for telework from Carolyn Buccongello, the Vice President of Human Resources for Microsoft Canada.

Core Dimensions To Transforming Business For Telework

  1. Technology- Organizations can now allow employees to access business intelligence, CRM, and scheduling software all through SaaS. This turns the home office, airports, and planes into locations that employees can work from just as efficiently as they would from their desk at a corporate office. In many cases SaaS scheduling software enables employees to schedule different corporate resources like video conferencing equipment at a number of locations, phone bridges, and even meeting rooms in various locations as well all from a remote location outside of the office.
  2. Places- Employees are beginning to become more fluid in nature, they could be working from anywhere. On any given day it’s quite possible that an organization will need to support employees working in other offices, trains, or even in the air on a flight to see a client or attend an industry conference.
  3. People- The workforce is beginning to become more comfortable and adept at communicating in different ways. Telework and telecommuting needs to be supported by the employees of an organization willing to communicate with new technology like video conferencing technologies.

How Federal Agencies Can Speed Up The Growth Of Telework Programs

A FedScoop survey of over 300 IT executives from both federal government agencies and the private sector about the growth of telework in both the public and private sector.

Federal agencies are now required to put telework plans and policies in place as a result of the Telework Enhancement Act. Although federal agencies are required to put these plans and policies in place, according to the survey these federal agencies may still be behind the private sector when it comes to telework.

Facts From FedScoop’s Telework Survey

  • 9 in 10 federal agency managers said they trust their employees to telework, but only 61% of those surveyed said their managers allow them to telework. This would suggest that buy-in from management may not be the problem, but having the technology in place to telework is. Federal agencies should utilize on-demand and SaaS to deliver the same software and programs an employee would access in the office wherever they may be.
  • 43% of federal employees believe that their agencies do not provide them with the necessary technology to telecommute, where only 13% of private sector employees shared those feelings.
  • 75% of federal employees acknowledged that their agency has designated a telework coordinator, but just over half of these people had ever met with that person.

How Can Federal Agencies Get Up To Speed When It Comes To Telework?

  • Utilize On-Demand Software and SaaS. When creating an environment for employees to work remotely, it’s important that they have access to all of the same things they can access in the office as well. On Demand software and Software as a Service (SaaS) allow employees to use the same software they use in the office to get their jobs done wherever they can access a web browser.
  • Implement Office Hoteling & Hot Desking Programs. With more employees telecommuting there will be an increase in  empty desks and underutilized space. Federal agencies should no longer provide permanent desks and workspaces to employees who aren’t frequently in the office. Instead allow employees to schedule desks and workspaces for when they will be in the office with Office Hoteling and Hot Desking Solutions.
  • Efficiently Manage Video Conferencing & Teleconferencing Equipment & Resources. Just because employees will no longer be in the same physical space doesn’t mean there will be no collaboration and meetings. Meetings can happen through video and teleconferencing. It is important to manage these resources efficiently. Federal agencies should implement scheduling software that allows them to manage video conferencing equipment, phone bridges, and employees’ schedules all at once.
  • Analyze The Actual Utilization of Rooms & Resources. Much has been made about how much the government can save if federal agencies embrace telecommuting. Costs can be significantly reduced through telework, but only if the agencies understand where those savings can come from. Actual utilization of rooms and resources can be monitored and measured and then analyzed to help federal agencies reduce office space, energy consumption, and all the costs that go along with them.

CFOs Believe Telecommuting Is On The Rise

In a recent survey conducted by Accountemps, one third or 33% of Chief Financial Officers surveyed believe telecommuting and remote work arrangements have increased over the past three years. The survey was conducted over the phone and over 1,400 Chief Financial Officers across the United States participated.

Telecommuting comes with both economic and environmental benefits. By allowing employees to telecommute and work from home it cuts down on emissions during commutes to and from work. It can also reduce real estate and energy costs for an organization.

With mobile technologies and wireless communication it is much easier for organization’s to support telecommuting programs through the use of SaaS or Software as a Service. SaaS allows employees to access the same software and data they can in the office virtually anywhere as long as they can access a web browser.

Telecommuting & SaaS For Business Continuity

Businesses can fall victim to a number of things that aren’t their fault. Think of natural disasters like hurricanes, blizzards and earthquakes. All of them have the potential to cause damage, power outages, and can make it tough for employees to commute to work. While it could never be considered a businesses fault when this happens, you may be able to say it is a businesses fault for not being well prepared to handle such events.

With the technology that is available to us today there really is no reason a business should have to shut down due to a natural disaster or inclement weather. Employees and businesses should be equipped to telecommute when things beyond their control prevent them from working in an office.

SaaS or software as a service allows employees to access the same software they utilize in the office wherever they may be through a web browser. A third party hosts the software and data for an organization allowing employees to not lose time when disaster strikes there office.

Sustainability: A Supervening Social Necessity

It seems like every day, month, or week sustainability becomes a larger focus. Now it’s becoming arguable that sustainability is a supervening social necessity.

The definition of “supervening social necessity” may even be shorter than the term itself, it’s simply a requirement from society that motivates the development of technology. The need to cut costs, reduce energy consumption, and becoming energy efficient seem to certainly be pushing new technologies every day. Sustainability has pushed technologies like SaaS and the cloud, energy management solutions, occupancy detection, and real estate management solutions.
