Could Telework Be The End of Relocation Packages?

In recent years organizations have had to look into new ways to cut costs due to the recession. One way to cut costs, is to reduce the benefits provided to employees. One benefit that looks to have been reduced is the offering of relocation packages to employees who aren’t local to a position. Before the recession began 42% of companies offered relocation packages to new employees, more recently only 25% of companies offer the same benefit.

One would imagine that offering a relocation package could be quite pricy for an organization, but in order to hire the best person for a position accommodating a move is necessary. Is it really necessary though?

In the past the answer would have certainly been yes, but now more employees than ever are effectively telecommuting. Telework Technology Is Key To Government Telework

Microsoft recently conducted a survey on telework in the government. The survey showed that 50 percent of government workers would go as far as switching their jobs if it meant that they could telework more, or even just telework at all.

257 people were surveyed, 73 percent of which worked for the government. The survey showed that 31 percent of those who have been telecommuting said their job satisfaction increased, 11 percent were unhappy that their boss now thought they were accessible 24 hours a day, 29 percent saw no difference in their job satisfaction, and 29 percent still didn’t have the ability to telecommute. Even with a large portion of those surveyed saying they still weren’t allowed to telework, 72 percent of those surveyed said their bosses supported the idea of telework.

The most telling statistic in the survey seems to be that only 3 percent of the respondents were using video conferencing technology, and only 2 percent had the ability to share documents.

The government needs to get serious about investing in technology that supports telework if they truly want to have effective telework programs in place. The Telework Enhancement Act calls for telework programs to be put in place for federal agencies. Without the proper telework technology in place these programs won’t be effective.

Telework Enhancement Act Increases The Use of Video Conferencing

Companies who provide video conferencing technology are seeing a boost in sales to the Federal Government. This doesn’t come as much of a surprise as government agencies have been required to develop telecommuting plans by the Telework Enhancement Act of 2010.

Telecommuting has become a priority of the federal government to allow government agencies and operations to continue to run in the event of inclement weather or any other reason that may prohibit employees from commuting to the office. Video conferencing technology allows these telecommuting employees to still have face to face meetings and share documents with their colleagues even when they are in two different locations.

Once an organization or agency has video conferencing technology and equipment in place it is also extremely important that they have the right solutions in place manage this equipment. Employees will need to be able to schedule conference bridges, video conferencing enabled conference rooms when in the office, and the people they actually want to have the meeting with. Organizations often implement scheduling software to manage video conferencing equipment.

Executive Order Calls For Reduction in Costs Associated With Travel & IT Devices

In an executive order released by the President earlier this morning, agencies are required to establish a plan for reducing costs associated with travel and IT devices.

The order does acknowledge that travel may be necessary for an effective functioning government, but agencies are now expected to formulate plans to incorporate video conferencing and teleconferencing where they can to reduce costs.

In another measure to reduce federal agencies’ costs, the order also calls for the analysis of the actual usage of employee IT devices. This measure is to ensure that devices aren’t going under-utilized or unused.

With the order calling for actual utilization analysis and for more IT devices to be added for video conferencing federal agencies would be wise to look into solutions to monitor and manage the usage of all of their equipment.

When it comes to video conferencing, organizations generally have their video conferencing equipment in a conference room. It’s important that this conference room only be scheduled by employees who need the video conferencing equipment that is located there. Scheduling software allows an organization to ensure that the video conferencing equipment wouldn’t be tied up in a meeting that doesn’t require video conferencing.

Taking it a step further, business intelligence software like Workplace BI, will monitor and analyze the usage of employees’ IT devices and the rooms and resources they schedule- like a video conferencing conference room. This allows federal agencies and any other organization to use real data to make decisions to reduce costs, as was addressed in the executive order.

Telecommuting to Reduce China’s Carbon Footprint

A recent article from China Business News has identified telecommuting as the practice that offers the greatest opportunity to reduce China’s carbon footprint.

The reduction in carbon emissions would largely stem from:

  1. Telecommuting- Telecommuting has the potential to reduce carbon emissions by 340 million tons
  2. Video Conferencing / Virtual Meetings- Video conferencing has the potential to reduce carbon emissions by 623 million tons.

In order to effectively implement a telecommuting program it is important that an organization manages the shared workspace they have on site as well. Scheduling software can help an organization effectively schedule resources that are used inside and outside of an organization’s offices.
